Hotel Renovation: An Equipment Procurement Checklist
How to keep a hotel renovation procurement on schedule, from the first bedroom floor to the last item in the back of house.

To procure equipment for a hotel renovation, work in phases: agree the design and specification, build separate FF&E and OS&E lists, confirm lead times against the construction programme, and stage deliveries to match access. Planning in that order keeps furniture and equipment arriving when the rooms are ready for them.
Plan by phase, not by supplier
A renovation runs to a construction programme. Procurement has to follow it, not the other way around. Break the property into phases — floor by floor, or area by area — and map what each phase needs.
That makes lead times visible early, when there is still time to choose a different supplier or a stocked alternative.
Bedrooms and suites
- Casegoods, beds, headboards and wardrobes
- Bedside and task lighting
- Soft seating, desks and luggage units
- Minibars, safes and in-room appliances
- Heavy-duty and blackout window treatments
Public areas
- Lobby and lounge seating
- Restaurant, bar and terrace furniture
- Decorative and architectural lighting
- Reception, luggage and cloakroom equipment
- Meeting and event furniture
Back of house
- Commercial kitchen equipment and refrigeration
- Laundry equipment, if linen is processed on site
- Housekeeping equipment and carts
- Staff areas and storage
Timing and delivery
Confirm access, lift availability and storage before booking deliveries. A renovation usually means limited space, so phased delivery is often the only practical option.
Ask every supplier for a lead time in writing and agree what happens if the programme moves. A supplier who can hold or phase stock is worth more than a small saving.
