Buying Hotel Furniture in Europe: Lead Times, Specs and Pitfalls

To buy hotel furniture in Europe without delays, fix the specification before comparing suppliers, confirm real lead times in writing, and check that upholstery and materials meet the compliance rules of the country you are fitting out. Furniture is usually the longest-lead line in a hotel project, so it decides the opening date more often than the price does.
Start with a contract specification
Hotel furniture is bought for continuous use, not for a showroom. The specification should describe construction, materials, finish and expected use so suppliers quote the same standard.
- Frame and carcass construction and materials
- Upholstery fabric, foam and expected use rating
- Finish, edge treatment and matching across items
- Dimensions consistent across room types
Confirm compliance for your country
Fire, flammability and safety requirements for furniture differ between European markets and often between commercial and domestic use. Ask suppliers to state the test documentation they provide.
Getting this wrong can mean furniture that cannot be installed, which is far more expensive than choosing a compliant supplier in the first place.
Take lead times seriously
Stock furniture moves quickly; made-to-order casegoods, soft seating and custom finishes take longer. A single custom item can hold up a whole room, so map every item against the programme.
Ask for a lead time in writing, with the date it starts from. Ideally confirm what happens if the order is placed late or the programme moves.
Delivery, access and installation
- Check lift dimensions and doorways before ordering large items
- Confirm whether delivery is to kerbside, door or room
- Agree who assembles, positions and removes packaging
- Plan storage if delivery is phased before rooms are ready
